Adding a Name to the Address Book
To begin, open the Address Book by selecting it in the
Communicator pull down menu in any Communicator component or by
pressing Ctrl+snift+2. When the Address Book first opens, you will
note that the lower section of the window is empty. As you enter names
in the Address Book, this area will begin to fill up.
To enter a new name in the Address Book, click on the button
identified as "New Card" . A text entry box, as shown in
Figure 3-1 will be displayed.
Before you enter the persons name in the boxes, think about how you
would like the list displayed. The user can select from several
different items upon which the list may be sorted. The most common is
probably alphabetically by name. However, Address Book does not allow
the user to select whether the list is sorted by first name or last
name. By default, it will sort based upon the information in the "First
Name" text box. By this method, Alan Wilson will appear near the
first of the list, since it begins with "A" , while Zachary
Adams will be near the end since it begins with "Z" . Since
most people prefer to sort the names alphabetically by the last name,
we need to "fool" Address Book. In the text box marked "First
Name" type in the person's last name followed by a comma, and
type their first name in the box identified as "Last Name" .
This method will cause the names to be displayed as Adams, Zachary and
Wilson, Alan. When you have finished entering the information
requested in Figure 3-1, click on the tab "contact" . Figure
3-2 will now be displayed.
Enter any relevant information. Don't worry if you do not have all
the information. It can be modified at a later time. When complete,
click on the button "OK" . The address book will be displayed
again. |
