Below is a sample “letter of intent” that we suggest
you ask your community partners to prepare to confirm the understanding
of responsibilities between the lead literacy organization and its
community partners. Feel free to copy the text below and adapt it
to your needs.

Dear Ms Barber:
As a partner with [lead literacy organization] for this year’s
[name of campaign] literacy awareness campaign [community partner
organization] is pleased to help develop and deliver the campaign
events to be held [campaign delivery dates].
Specifically, we understand that we will:
- Attend steering committee meetings to help plan the event
(our representative is Susan Smith)
- Attend and speak at the launch of the campaign to be held
on [date] at [time]
- Provide a display for the launch. The display will contain
a broad range of information about the life-long learning opportunities
available through [community partner organization].
- Provide a display on Tuesday, Wednesday and Thursday at [display
location]
- Collect bookmarks during the event and return them to [literacy
organization]
- Promote the event by posting promotional materials about the
campaign and literacy
- Host a presentation from an adult learner during our open
house on [date]
- Participate in evaluation of the event in a manner to be
determined by the steering committee.
We also understand that [literacy organization] will provide
us with:
- Promotional materials, e.g. posters, bookmarks, brochures
- Speaking notes for our presentation at the launch
- Presentation handout materials and speaker for the presentation
- Evaluation materials as necessary
